Ordering Information
Welcome to Party Printer, your trusted partner for high-quality custom balloon imprinting and promotional products. This guide provides everything you need to place an order efficiently with your Distributor and submit your ready to print artwork and get insight to our shipping, production, and general terms and conditions.
How to Place an Order
All orders must be submitted to your Distributor. Production begins only after:
- The Distributor receives the complete order and submits it to Party Printer complete.
- Artwork is approved.
Order Processing & Production Time
Order Processing
- Orders are processed Monday through Friday, excluding holidays.
- Orders approved by 1:00 PM CST may begin production immediately.
- Orders approved after 1:00 PM CST will begin production on the following business day.
- We do not offer production on weekends or holidays.
Production Timelines
- Standard production: 5-7 business days, depending on order quantity.
- All custom-imprinted latex balloons are made to order.
- Production begins after artwork approval and complete order details are submitted to Party Printer.
- Any required information that is missing will NOT be processed until confirmed.
- Production timelines may vary based on order size, imprint complexity, and seasonal demand. (Note: From July through November, production times may be longer).
Rush Production Options
- 1-Day Rush: Proof approved by 1:00PM CST; ships the next business day.
- 2-Day Rush: Proof approved by 1:00PM CST; ships within two business days.
Rush production timelines are not guaranteed. If a rush deadline cannot be met, you will be notified promptly to discuss alternatives or cancellation options. Orders will not enter production without approved artwork. Delayed approvals may result in missed production timelines and delivery dates. Reference the published price list or contact your Distributor to request a quote and confirm the production schedule.
Order Information Requirements
Your Distributor will need the following information in order to place your order:
- Customer name and mailing address
- Contact person name
- Telephone number
- Ship-to address
- Shipping method
- Requested ship date / Event date / In-Hands dates
- Product name
- Product color
- Product quantity
- Imprint ink color(s)
- Useable camera-ready artwork submitted via email
Note: Missing information may delay your order. All orders are acknowledged via email. Please review your acknowledgment carefully to verify details, pricing, and artwork.
Artwork Submission Guidelines
If artwork is not uploaded at checkout, please email your file along with your purchase order to Orders@PartyPrinter.com.
Preferred File Formats
- Adobe Illustrator (.AI)
- Encapsulated PostScript (.EPS)
- Also accepted: JPG, GIF, PDF, PNG
All artwork is reviewed to ensure compatibility with the selected product. Minor adjustments may be made at no additional charge.
Important: Artwork must be submitted as line art. Our printing process functions similarly to a stamping method; gradients, shading, or photographic images cannot be reproduced without prior approval. For artwork assistance, please contact your Distributor.
Pricing and Catalog Information
- Prices, terms, and product availability are subject to change without notice due to currency or raw material fluctuations.
- Third-party database, website, or flyer pricing may be incorrect; our current catalog pricing supersedes all prior publications.
Product Packaging
- Standard Packaging: 100 balloons per bag for 5”, 7”, 11”, 12”, 17”, and 18” balloons.
- Large Balloon Packaging: 10 balloons per bag for 24” and 36” balloons.
- Custom Packaging: Options are available upon request, subject to quotation, capacity, and production timelines.
Minimum Orders and Charges
Reference catalog for minimum order quantities for each balloon size and color.
Policies: Changes, Returns & Warranties
Changes and Cancellations
- All orders are firm once submitted.
- Changes in quantity before production start are accepted. Changes after production begins are treated as a new order and billed accordingly.
- Changes to shipping method or address must be made before the scheduled ship date.
- Cancellations must be submitted in writing and acknowledged by Party Printer; any work completed to date will be invoiced.
Product Variance
- Overruns/Underruns: Orders may include a ±5% variance.
- Color Variance: Due to materials and manufacturing processes, exact matches cannot be guaranteed on repeat orders.
- Specifications may change without notice to improve products.
Returns
- Claims must be made within 7 days of receipt.
- Party Printer authorization is required for all returns.
- Imprinted or special-order merchandise is non-returnable unless defective.
- Returns on unimprinted merchandise are subject to a 20% restocking fee.
Payment Terms
Contact your Distributor for payment terms.
Representations & Warranties
- Party Printer guarantees products will be free of defects.
- No warranties on performance or marketability are implied.
- Customers agree to indemnify Party Printer against claims arising from use of products, including delays or shipping issues.
Artwork & Intellectual Property Policy
Ownership of Artwork
All artwork, designs, logos, or images submitted by customer (“Customer Artwork”) remain the property of the customer or the entity owning the rights to the artwork. Party Printer does not claim ownership of Customer Artwork.
Grant of License
By submitting artwork to Party Printer for printing, you grant Party Printer a limited, non-exclusive, non-transferable license to use the artwork solely for the purpose of producing and fulfilling your order. Party Printer may use the artwork for internal production reference, quality assurance, or in the creation of proofs for your approval.
Artwork Accuracy & Responsibility
- Customers are responsible for ensuring that all submitted artwork is legally theirs to use, free of copyright infringement, trademark violations, or any other third-party claims.
- Party Printer is not liable for any intellectual property disputes arising from the submission or use of customer-provided artwork.
- Submitter accepts all legal and financial responsibility and any liability to rightful ownership.
Modifications
Party Printer reserves the right to make minor adjustments to submitted artwork for print compatibility, including resizing, color separation, or formatting adjustments. Any significant changes will be communicated and approved by the customer prior to production.
Artwork Retention
Party Printer may retain digital copies of submitted artwork for internal record-keeping, reorders, or production reference. Retention does not grant Party Printer rights to use the artwork for any other purpose without explicit customer approval.
Third-Party Artwork & Licensing
If artwork includes elements created by a third party, it is the customer’s responsibility to ensure proper licensing and permissions are obtained. Party Printer will not verify third-party rights and is not responsible for third-party IP claims.
Liability
Party Printer is not liable for losses, claims, or damages resulting from the use of artwork submitted by the customer. Customers agree to indemnify and hold Party Printer and all its assigns and principles harmless from any claims or disputes arising from the use of submitted artwork.
Catalog Images
Artwork and trademarks in our catalogs are representations and examples only and may not represent actual production items or true color or shape.
Shipping Information
- Carriers: UPS and FedEx service our facility daily. Other carriers may incur extra charges.
- Freight: F.O.B. Wichita, KS.
- Third-party Billing: $8 per carton.
- Address Corrections: $25 per carton; verify prior to ordering via USPS lookup.
- Drop Shipments: $8 per location; Excel spreadsheet required for addresses.
Shipping and Production Policy
Shipping Transit Times
- Shipping transit time begins once your order leaves our facility and is separate from production time.
- Transit times are estimated by the carrier and are not guaranteed. We have daily pickups from UPS and FedEx. Delays may occur due to weather, carrier issues, or other unforeseen circumstances.
Shipping Rates
- Shipping rates are calculated based on package size, weight, destination, and selected shipping method.
- Oversized or bulk orders may incur additional shipping charges.
Drop Ship / Split Shipments
- Orders may ship in multiple boxes or on different dates due to size, weight, or carrier restrictions.
- Tracking information will be provided for each shipment.
- An additional $8.00 per address fee applies for shipments to 2+ addresses and/or 2+ drop ship orders.
- A spreadsheet with full address information is required. Additional lead time may be necessary.
Address Accuracy
- Customers are responsible for providing accurate and complete shipping information.
- Incorrect or incomplete addresses may result in delays, additional fees, or returned shipments.
- Address Correction Fee: $25 per address.
- Re-routing Fee: A $40 fee applies to packages that are:
- Undeliverable or refused
- Missed deliveries
- Returned due to incorrect address information or recipient unavailability
International Shipping
- International shipping may be available upon request.
- Customers are responsible for all customs duties, taxes, and import/export fees.
- Transit times for international shipments vary and may be affected by customs processing.
Final Sale Disclaimer
- All custom orders are final sale once production begins.
- No returns or refunds are accepted for custom-imprinted products.
- Shipping delays do not qualify for refunds on custom orders.
Received the Wrong Order
- If you receive incorrect products or are missing merchandise, contact us within 2 days of receipt.
- If Party Printer made an error, we will gladly correct it with a replacement shipment.
Shipping Claims Policy and Fraud Terms
We take great care in packaging and shipping every order. In the event an issue occurs during transit, this Shipping Claims Policy outlines the required steps, timelines, verification process, and terms governing shipping-related claims. By placing an order with us, you agree to the terms outlined below.
Claim Eligibility & Reporting Timeframes
All shipping claims must be submitted within the timeframes listed below. Claims submitted outside these windows may be denied.
- Damaged Shipments: Must be reported within 48 hours of delivery.
- Missing or Shorted Items: Must be reported within 48 hours of delivery.
- Lost Shipments (No Delivery Confirmation): Must be reported within 7 business days of the last carrier tracking update.
Carrier delivery confirmations, tracking records, and investigation results are considered final when determining delivery status. Shipping refunds are NOT provided for delivery delays.
Required Documentation
All shipping claims must include complete and accurate documentation. Required materials may include the Order Number and a description of the issue (damage, loss, or shortage) with:
- Clear photos of affected product(s)
- Original shipping box
- Packing materials
- Shipping label (clearly visible)
Any additional information requested during the claim review process. Failure to provide complete documentation may result in claim denial.
How to Submit a Shipping Claim
- Submit your claim by contacting your Distributor or help@partyprinter.com within the claim window.
- Provide all required documentation at the time of submission.
- Retain all products and packaging until the claim has been fully reviewed and resolved, as carriers may require inspection.
Claim Review & Verification
All shipping claims are subject to review and verification. By submitting a claim, the customer certifies that all information provided is accurate, complete, and truthful. We reserve the right to verify claims against:
- Carrier tracking records and delivery confirmations
- Carrier weight scans and investigation findings
- Internal shipment, packing, and production records
Claim reviews typically require 3–7 business days once all documentation is received.
Claim Resolution
Approved shipping claims may be resolved, at our discretion, by replacement of affected item(s). Due to the custom or made-to-order nature of certain products, including printed items, refunds are not guaranteed, and replacements may be the sole available resolution. Party Printer’s liability is strictly limited to the value of the original order. All production costs are non-refundable.
Fraudulent or False Claims
Fraudulent, false, misleading, or exaggerated shipping claims—including false reports of lost, damaged, or missing shipments—will not be tolerated and will be denied.
Submission of fraudulent claims may result in:
- Immediate denial of the claim
- Loss of shipping claim privileges
- Account suspension or termination
- Any additional remedies available under applicable law
Legal Notice Regarding Fraud
Knowingly submitting false or fraudulent statements, representations, or documentation in connection with a shipping claim may violate 18 U.S. Code § 1001, which prohibits materially false statements made in matters involving interstate commerce, as well as applicable provisions under Chapter 47 of Title 18 of the United States Code (Fraud and False Statements). The fraud is punished by five (5) years imprisonment and a fine of $100,000. Any fraudulent alteration of the truth, likely to cause harm and accomplished by any means whatsoever, in writing or any other medium of expression of thought which has as its object or which may have the effect of, constitutes a falsehood. Forgery and the use of forgery are punishable by three years’ imprisonment and a fine of $100,000.
We reserve the right to cooperate with carriers, payment processors, and law enforcement authorities in the investigation and prosecution of suspected fraudulent activity.
Carrier Responsibility & Limitation of Liability
Once an order has been tendered to the carrier, handling, delivery timing, and transit conditions are outside of our control. We are not responsible for delays, damages, or losses caused by carriers, weather events, or other circumstances beyond our control, except as required by law or expressly stated in this policy. Shipping refunds are NOT provided for delivery delays.
Agreement to Terms
By placing an order and/or submitting a shipping claim, you acknowledge and agree to this Shipping Claims Policy and Fraud Prevention Terms as part of our overall Terms & Conditions.

- Violate any applicable local, state, national, or international laws.
- Engage in fraudulent activity or misrepresent information.

Orders and Acceptance
- All orders are subject to acceptance and availability.
- We reserve the right to refuse or cancel any order for any reason, including suspected fraud, pricing errors, or inability to fulfill an order.
- Confirmation of an order does not constitute acceptance; acceptance occurs only when your order is shipped.
Pricing
- All prices are listed in U.S. dollars unless otherwise indicated.
- We reserve the right to change prices without prior notice.
Shipping and Delivery
- Orders are shipped according to the shipping method selected with your Distributor.
- Delivery dates are estimates only.
- Once the shipment has been tendered to the carrier, Party Printer is not responsible for delays, loss, or damage caused by the carrier, except as expressly stated in these Terms & Conditions or by law.
Shipping Claims Policy

Note: Custom-printed or made-to-order products may only be eligible for replacement; refunds are not offered.
Defective Merchandise
Party Printer makes every effort to provide the highest quality products in the industry and only works with the best manufacturers and brands.
- If you receive a defective item, please file a claim within 7 calendar days of the package delivery date.
- Claims are reviewed and processed within 48–72 hours.
- Party Printer will replace for the value of the defective product(s).
- Balloons that are punctured, cut, or have popped due to over-inflation will not be honored.
Fraudulent or False Claims
Fraudulent, false, misleading, or exaggerated claims—including false reports of lost, damaged, or missing shipments—are strictly prohibited.
- Denial of the claim
- Loss of shipping claim privileges
- Cooperation with law enforcement authorities
- Legal action as permitted under applicable law
Returns
- Returns are accepted only as outlined in Party Printer’s Return Policy.
- Custom imprint orders or made-to-order products are not eligible for refunds. Party Printer’s liability is strictly limited to the value of the original order. All production costs are non-refundable.
Sales Tax
Party Printer operates exclusively as a distributor-only imprint company and works solely with verified distributors.
Intellectual Property
All content on the Site, including text, images, logos, and designs, is owned by or licensed to Party Printer. You may not reproduce, distribute, modify, or use any content without prior written permission.
Website Images, Proofs & Color Representation
We strive for accuracy in all website images and digital proofs; however:
- Color Accuracy: Screen displays vary. Final print colors are matched to the Pantone “U” (Uncoated) color system when applicable.
- Proof Limitations: Email proofs do not represent exact final print colors or scale.
- Content Restrictions: Party Printer reserves the right to refuse any content deemed vulgar, offensive, or inappropriate.
Limitation of Liability
- To the maximum extent permitted by law, Party Printer is not liable for any indirect, incidental, special, or consequential damages arising from your use of the Site or products purchased.
- Liability for any claim shall not exceed the total amount paid for the specific product or service giving rise to the claim.
Indemnification
You agree to indemnify, defend, and hold harmless Party Printer, its officers, directors, employees, and agents from any claims, liabilities, damages, losses, or expenses arising from:
- Your use of the Site
- Violation of these Terms & Conditions
- Fraudulent or false claims
Governing Law
These Terms & Conditions are governed by and construed in accordance with the laws of the United States and the State of Kansas. Any disputes shall be resolved in the courts located in Kansas.

Party Printer reserves the right to update or modify these Terms & Conditions at any time. Updated terms will be posted on this page, and your continued use of the Site constitutes acceptance of the revised terms.
